Printer Packing Guide – Box or Pallet Collection

Prepare your printer safely for repair, servicing, or collection. Follow our official Printer Genie packaging standards to protect your device in transit and avoid courier damage. This guide applies to all box shipments and pallet collections for repair or servicing orders.

Applies to: HP, Brother, Canon, Lexmark, Samsung and other business printers accepted for Printer Genie repair and maintenance services.


Your Booking Details

  • Job Reference Format: PG-[ORDERNUMBER]-[YYYYMMDD] (example: PG-123456-20251020)
  • Book Your Own Courier (Option A): You can use any insured, trackable courier of your choice. For convenience, you may also book via DPD.

Materials You’ll Need

  • Double-wall carton (or heavy-duty pallet carton for multiple units)
  • Closed-cell foam or honeycomb board (50–75 mm each side) — avoid loose-fill only
  • Reinforced tape (H-taping) and edge protectors
  • Poly bags to seal consumables (toner/ink) if removed
  • A4 address label + job reference sheet inside the box

Preparation (Before Packing)

  1. Power off and unplug; allow hot parts (e.g., fuser) to cool for at least 30 minutes.
  2. Remove paper from all trays; secure or remove optional accessories (extra trays/finishers).
  3. If advised for your model, remove toner/ink and seal in bags to prevent leaks.
  4. Immobilise moving parts (ADF, scanner lid) with soft padding — do not tape directly on displays.
  5. Include a note with your order number, model/serial, contact, and a brief fault description.

Boxed Packing – Single Unit

  1. Wrap the printer with 50–75 mm of protective foam on all sides. Aim for a tight fit (no voids).
  2. Place the wrapped unit in a double-wall carton; add dense side/top fill to eliminate movement.
  3. H-tape the top and bottom seams. Add edge protection for long edges.
  4. Apply orientation labels (“THIS SIDE UP”) and “FRAGILE”.
  5. Place the address label outside and include a note inside with order number and job reference.

Palletised Packing – Multiple Units

  1. Place boxed printers on a sound pallet, heaviest at the bottom; keep within the pallet footprint.
  2. Use corner posts/edge protectors and shrink-wrap tightly, including the pallet base for stability.
  3. Add a top sheet and banding if available. Keep overall height within courier limits.
  4. Affix a pallet label with total unit count and job reference.

Photo Checklist (Keep for Claims/Records)

  • Front/back/sides of the printer before packing (to document condition)
  • Printer fully wrapped with padding (all sides visible)
  • Box with tight side/top fill before sealing
  • Sealed box with labels visible (top and two sides)
  • For pallets: full pallet wrap (base, sides, top) and close-ups of labels
Liability, Claims & Transit Damage

Customer-arranged shipping: You are the shipper of record; any loss or damage claims must be raised with your courier. Keep packing photos and courier paperwork.
Box & collection service: Follow this guide exactly and photograph the packed box before collection. We cannot accept liability for damage caused by inadequate packaging or undeclared pre-existing faults.
